Job Title: Sr. Administrative Assistant

Reports to: Sr. Director, Strategy and People

Positions: Up to 2 Full Time positions (37.5 hours/week)

Salary Range: $74,200 – $92,700

The Canadian Alliance to End Homelessness (CAEH) leads a national movement of individuals, organizations and communities working together to end homelessness in Canada. The CAEH works toward a Canada without homelessness. We do it by helping communities and governments across the country apply proven approaches to transform programs, policies, and systems toward the goal of ending homelessness.

Defining Success for this position

Reporting to the Sr. Director, Strategy and People, the Sr. Administrative Assistant enhances the organization’s operating system by creating highly effective practices that enable the CAEH to achieve its mission of ending homelessness in Canada while living its values. The successful candidates are entrepreneurial, results oriented team players who provide administration and coordination support with a focus on supporting general administration, strategy and people, communications, events, fund development, contracts, and accounting.

Essential Duties and Responsibilities

  • Negotiate and oversee operating contracts and assets, such as Information technology service agreements, equipment, and Human Resource fractional services.
  • Coordinate aspects of employee lifecycle management such as recruitment, onboarding, retention activities, and offboarding.
  • Deliver positive, helpful, and timely experiences for all CAEH stakeholders.
  • Develop and manage a CAEH document management filing system.
  • Assist with grant proposals and reporting requirements.
  • Support budget and accounting activities as requested.
  • Write, review, and edit documents, presentations, and other communication materials.
  • Support event management, booking travel, and fundraising activities.
  • Assist with website management, translation, and webinar activities.
  • Oversee seasonal students, Interns, and contracted employees as assigned.

Other Duties

  • Provide other administration support as assigned to advance the mission of ending homelessness in Canada.

Work Environment, Salary and Travel

  • This position can be located anywhere in Canada with a preference for a location that is easily accessible to an international airport.
  • This position requires the ability to work from a virtual/home office location without the standard support available at a business office.
  • Travel up to 14 days per year for meetings may be required.

  • The salary range for this position is $74,200-$92,700 annually and is subject to performance-based merit increases, plus a comprehensive benefits package, including a retirement savings plan.

Qualifications

  • Passion for ending homelessness, a belief that it’s possible, and a sense of urgency to get there.
  • Minimum 5 years’ previous work experience leading administrative projects and improving processes.
  • Highly organized with the ability to work independently in a virtual office setting and self-manage to achieve aggressive goals while being a team player.
  • Ability to cope with and embrace change, risk, ambiguity, and uncertainty.
  • Superior technical capabilities especially with regards to Microsoft Office, SharePoint, Teams, Zoom, WordPress, and NationBuilder.
  • Demonstrated sound judgment including the ability to identify, analyze, and problem-solve independently.
  • Exceptional customer service orientation with a demonstrated ability to forge effective working relationships with staff, senior management, and external stakeholders.
  • Strong negotiation and conflict resolution capabilities.
  • Advanced communication skills.
  • Bilingual (English/French) would be considered an asset.
  • Credentials in administration is considered an asset.
